1. Quality Assurance Advisor – Chinese Mainland

Responsible to: Quality Assurance Manager – Chinese Mainland

Location: Shanghai, China

The Quality Assurance (QA) Advisor function falls within WSET’s Global Quality Assurance team. The QA team is one of three divisions within WSET Academic Team, which is responsible for WSET assessments, quality assurance and compliance globally. A successful candidate for this position will play a major role in ensuring the highest quality levels in all aspects of WSET qualification delivery in the Chinese Mainland. Operationally, the QA Advisor will report in as part of WSET China team.

This position will be a member of the WSET Shanghai Representative Office and will require travel within China and overseas. Evening and weekend work may also be required.

Overall Responsibility

The Quality Assurance (QA) advisor will work closely with the Quality Assurance Manager, and alongside WSET’s China team. With reference to WSET’s Quality and Compliance Strategy, the QA Advisor will carry out the following functions:

Quality Assurance and Compliance

    • Monitor and report Approved Programme Provider (APP) compliance, implement remedial action and sanctions levied in coordination with QA Manager, and in accordance with WSET policy. Monitor and maintain compliance records.
    • At the direction of QA Manager, liaise with the Chinese Mainland team to organise visits and ensure that follow up requirements are completed on a timely basis and documentation stored appropriately. 
    • Review and process applications for APP approval and re-approval in accordance within agreed targets.
    • Carry out APP approval and re-approval visits in person and remotely throughout Chinese Mainland.
    • As required, provide support for QA administrative functions. 
    • Corresponds on daily basis with APP and process enquiries relating to the administration and delivery of WSET qualifications.

 Supports the Quality Assurance Manager:

    • In implementing the Quality and Compliance Strategy in line with the WSET’s mission.
    • In developing QA documentation and operating procedures as well as APP visit documentation and operating procedures.
    • In maintaining WSET Quality Management System and regulatory compliance.
    • In developing procedures for monitoring quality standards at APPs
    • Implementation of approved procedures. 

Other activities 

    • Plan and execute specific projects required to support the Global QA team and the wider organisation in meeting objectives. 
    • Represent China team and/or QA as required on Project Boards and Working Groups
    • Contribute to the successful operation WSET China and WSET overall and support other members of the departments by undertaking such other tasks as may from time to time be requested.
    • Contribute to the overall running of the department by operating within agreed upon budgets.

Skills and Competencies

Essential:

  • Bachelor’s Degree is required
  • Good level of numeracy and literacy
  • At ease travelling and flexible working hours commensurate with business needs
  • Fluency in English and in Mandarin is essential. 

Desirable:

  • High level of proficiency with Microsoft Office 365 platform 
  • Familiarity/experience of WSET qualifications, Completion or enrolment in WSET Level 3 Award in Wine
  • Prior experience in quality assurance, risk and compliance issues

2. Approved Programme Provider Administrator – Chinese Mainland

Responsible to: Quality Assurance Manager – Chinese Mainland

Location: Shanghai, China

The Approved Programme Provider (APP) Administrator function falls within WSET’s Quality Assurance team. The QA team is one of three divisions within WSET Academic Team, which is responsible for WSET assessments, quality assurance and compliance globally. A successful candidate for this position will play a major role in ensuring the highest quality levels in all aspects of WSET qualification delivery in the Mainland China. Operationally, the APP Administrator will report in as part of WSET China team.

This position will be a member of the WSET Shanghai Representative Office and will require travel within China and overseas. Evening and weekend work may also be required.

 

Overall Responsibility

The Approved Programme Provider (APP) Administrator will work closely with the Quality Assurance Manager, and alongside WSET China team. To provide comprehensive administrative support to the QA team across all its quality and compliance activities. Acting as the first line of contact for all internal and external stakeholders, the APP Administrator will carry out the following functions:

Provide administrative support for APP qualification delivery: 

    • Perform the check of APP course activities with the system records  
    • Perform the check of examination orders received in accordance with the system records
    • Support exam related enquiries from APPs

Provide administrative support for QA processes: 

    • Administer QA China emails inbox. 
    • Process enquiries from APPs related to the administration and delivery of WSET qualifications. 

General QA administration and Record keeping:

    • Update and maintain APP documentation which is fit for purpose and accurately reflects 

approved procedures and WSET policies

    • Maintain accurate and up to date records for the approval and registration of Approved Programme Providers (APPs) to deliver WSET programmes of learning and conduct WSET examinations
    • Maintain and update APP records for digital platforms, website, and management reporting
    • Provide administrative support as required for APP applications, visits, approvals, and renewals as well as inspections, audits, surveys, etc.
    • Schedule meetings and take detailed minutes
    • Write and distribute email, correspondence, letters and forms
    • Assist in office administrative duties and perform other ad hoc duties as assigned

Quality Assurance and Compliance

    • Monitor APPs’ websites, social media and activities, and report identified non-compliance, 
    • At the direction of the QA Manager, implement remedial action and sanctions levied in accordance with WSET policy. 
    • Monitor and maintain compliance records.
    • At the direction of the QA Manager, liaise with the WSET Chinese Mainland team to organise visits and ensure that follow up requirements are completed on a timely basis and documentation stored appropriately. 

Supports the Quality Assurance Manager:

    • In producing QA documentation and operating procedures as well as APP visit documentation and operating procedures
    • In maintaining WSET Quality Management System and ensuring regulatory compliance
    • In producing activity reports on APPs as required  

       Other Activities

    • Provide administrative support and participate in projects as needed, including testing and providing feedback on new information systems and awarding function processes, to meet global business needs
    • Contribute to the successful operation of WSET and WSET China overall and support other members of the departments by undertaking such other tasks as may from time to time be requested

Skills and Competencies

Essential:

3. Business Development Advisor – Chinese Mainland

Responsible to: Chief Representative – WSET China (Operational Line Manager)

Business Development Manager – China (Functional Line Manager)

Location: Shanghai, China

 The role will be located in our Representative Office in Shanghai and will require someone who is fluent in Mandarin and English, with demonstrable business development skills and ideally with a learning and development background.  Flexibility is key, as international travel and working across multiple time zones is essential to our success. Evening and weekend work may also be required.

WSET qualifications are at the heart of our development work so you should be a WSET Diploma Graduate or a current Diploma student who believes that quality and integrity are of the highest priority. You may also be a WSET Level 3 Award in Spirits graduate with experience of working in the Spirits industry.

Supporting our network of existing APPs as well as seeking out new development opportunities you will be responsible for Customer Relationship Management, Regional WSET Educator support and safeguarding the integrity of WSET qualifications.  You will be expected to take an active role representing the WSET at trade fairs and events as well as attending networking events and meeting key industry contacts and opinion leaders. You will also use your market development experience and industry contacts to provide feedback and support to WSET’s Head Office in London.

 Overall Responsibility

The Business Development Advisor (Chinese Mainland) will play a key role in the WSET China team. Working closely with the regional and global Business Development Team members you will:

  • Assist the Business Development Manager (China) to proactively develop and support WSET’s network of APPs 
  • Support the development and implementation of WSET’s activity plans in Chinese Mainland, including but not limited to trade fairs, events, charity initiatives, cultural exchange and public welfare activities, and Educator Training Programmes
  • Monitor and support the APPs on course delivery and WSET related operations to safeguard the integrity of WSET qualifications

Key Result Areas

In line with the functional and operational requirements of this role, the Key Result Areas will be primarily focused on but not limited to activities within the Chinese Mainland region.

Business Development and Customer Service

  • Development of markets in line with China development plans 
  • Contribute to the creation and regular revisions of China development plans with the Business Development Manager (China)
  • Implement agreed plans to develop regional markets
  • Identify new business potential and support the delivery of WSET qualifications from China
  • Resolve end to end enquiries from potential applicants
  • Provide in-market development support for applicants including creation and filing of APP activity plans
  • Work with WSET Head Office teams to ensure that WSET quality criteria are adhered to
  • Provide ongoing support for our existing network of APPs
  • Maintain records of our customer relationship management
  • Contribute to the development and revision of application procedures
  • Manage China data and reporting to support business growth in line with targets
  • Produce monthly reports on a per region basis
  • Analyse trends and development opportunities
  • Provide feedback and recommendation to China and Central WSET teams

Development and Implementation of WSET Activity Plans

  • Support the Chief Representative to develop WSET Activity Plans for the Chinese Mainland
  • WSET at trade fairs and events in Chinese Mainland (and elsewhere as required)
  • Identify new opportunities and regional events, contributing to the promotion and development of WSET in the Chinese Mainland. 
  • Support the execution of the regional events and trade fairs in the Chinese Mainland. 
  • Work with the Head of Events for Tier 1 and Tier 2 events and the wider Marketing Team for regional specific activities to enable WSET presence at regional trade fairs
  • Raise profile of WSET in China within the industry, including but not limited to:
  • Attending trade fair and events
  • Delivering masterclasses and speaking at conferences
  • Judging in wine/spirit/sake competitions
  • Supporting regional WSET Alumni activities
  • Seeking strategic partnership opportunities for WSET through to implementation (with marketing support as required)
  • Support charity initiatives, cultural exchange activities and public welfare programmes 
  • Assist the operational and functional line managers to develop the marketing strategy and plan for charity initiatives, cultural exchange activities and public welfare programmes 
  • Assist with the development and allocation of resources 
  • Support the execution of the above initiatives and activities 
  • Support and deliver as required for WSET Educator Training Programmes (ETP)
  • Identify regional ETP demand and liaise with ETP Team to meet the demand 
  • Support logistics and act as a facilitator, observer and/or educator for local ETPs
  • Provide feedback as required to the ETP Manager and the Academic Team

Safeguarding the Integrity of WSET Qualifications

  • Monitor and support the APPs on course delivery and education quality
  • Liaise with local APPs to ensure course delivery adheres to WSET quality criteria 
  • Monitor the education quality by observing teaching at APPs and providing feedback reports
  • Provide support and solutions to APPs for improvement, especially in instances of poor examination results 
  • Actively support and maintain Quality Assurance in all operations related to WSET Qualifications
  • Provide guidance to APPs to support their compliance with Quality Assurance requirements
  • Carry out APPs inspections and visits in line with the agreed visit schedule and ensure follow-up requirements are actioned
  • Inspect examinations as required to ensure regulations are followed and the integrity of WSET qualifications is maintained
  • Support the Quality Assurance team in any investigation where the quality and integrity of WSET qualifications are at risk

Other Activities

  • As an integral member of the wider WSET team, you will be involved in tasks including but not limited to:
  • Provide feedback and reports on WSET Qualifications and systems to ensure the future development of the WSET
  • Use your language skills to support the Academic Team and Marketing where requested to ensure the successful operation of our business
  • Represent WSET China by participating in inter-departmental working groups
  • Operate within agreed budgets and financial guidelines provided by WSET
  • Contribute to the overall successful operation of WSET by undertaking such other tasks as may from time to time be requested

 

Skills and Competencies

Essential

  • WSET Level 4 Diploma, current Diploma student or Level 3 Award in Spirits is required
  • Fluency in Mandarin and proficiency in English are essential 
  • Proven ability to operate within budgets and in line with financial guidance provided by company policy
  • Good level of numeracy and literacy with the ability to accurately cut through detail
  • Good knowledge of Microsoft Outlook, PowerPoint, Excel and Word 
  • Must be eligible to live and work in Shanghai

Desirable

  • Recent project management experience in China 
  • Demonstrable customer service experience 
  • Teaching, training, and presentation experience, especially experience in teaching WSET qualifications
  • Business acumen, preferably in market orientation, financial management, strategic thinking and data analysis
